Help Centre BookDay v2.0

How to use BookDay

Everything you need to run your booking site: taking bookings, managing packages and dates, and making the site look like your brand.

Nothing matches that search. Try another word, or contact us.

Getting started

BookDay is your online booking site. Customers pick a package, choose a date and pay online. You manage everything from your admin panel.

Log in to your admin

  1. Go to your website address and add /admin at the end, e.g. yourbusiness.com/admin.
  2. Enter the username and password Wolvespax Global gave you.
  3. Bookmark the page so it's easy to find next time.
Keep your login safeDon't share your password, and log out on shared computers. After 5 wrong attempts, logging in is paused for 15 minutes. Forgot your password? Contact us and we'll reset it.

Your admin menu

The version you're on is shown at the bottom of the menu, e.g. BookDay v2.0.0. View site opens your public website in a new tab.

Before you go live: checklist

  • Business name, logo and favicon: Brand
  • Your colours: Colours
  • Homepage headline, intro text and banner photo: Homepage
  • At least one package with photos and a price: Packages
  • WhatsApp, phone, email, address and socials: Contact
  • Cancellation policy and booking terms: Policies
  • Payment keys in live mode: Payments (we usually do this with you)
  • One real test booking from your phone

How customers book

It helps to know what your customers see.

Pick a package→Choose a date→Review→Enter details→Pay online→Confirmed ✓
  • Calendar: only free dates can be picked. Dates already booked, closed by you, or in the past are greyed out. Customers can book up to 6 months ahead.
  • Details: name, email, phone and an optional note. If you've added a cancellation policy or terms, they must tick a box to agree.
  • Payment: they're sent to your payment provider's secure page (Stripe, ToyyibPay or Fiuu) to pay.
  • Confirmation: after paying they get a booking reference (like WPG-7KQ2MX) on screen and by email. You get a copy too.
The 30-minute holdWhen a customer reaches checkout, their date is held for 30 minutes so nobody else can grab it while they pay. If they don't pay in time, the date frees up by itself. In the meantime it shows on your Dashboard as At checkout now.

Dashboard

The first page you see after logging in.

BoxWhat it means
UpcomingPaid bookings from today onwards
Next 7 daysPaid bookings happening this week
[Month] revenueMoney from bookings paid this month
At checkout nowCustomers holding a date who haven't paid yet (the 30-minute hold)

Below are Coming up (your next bookings by date) and Latest payments. Click any booking to open it.

"Double booked" warningVery rarely, two customers pay for the same date at the same moment. BookDay keeps both payments and flags them so you can decide what to do: move one to another date, or refund one. The Dashboard shows a warning when this happens. Search "double" in Bookings to find them.

Bookings

Every booking ever made, with tools to look after each one.

Find a booking

  • Upcoming / Past / All: switch between future and past dates.
  • Status filter: Paid, Awaiting payment, Cancelled or Refunded.
  • Search: by customer name, email, phone number, booking reference or notes.

Booking statuses

StatusMeaning
PaidConfirmed and paid. The date is taken.
Awaiting paymentThe customer is at checkout. The date is held for up to 30 minutes.
CancelledCancelled by you, or the customer didn't finish paying. The date is free.
RefundedMoney returned and booking cancelled. The date is free.

Inside a booking

Click a booking to see the package, date, amount, payment reference and the customer's details. From there you can:

  • Internal notes: write anything for yourself (e.g. "Arriving late, 2 kids"). Customers never see this.
  • Move to another date: pick a new free date and click Move booking. Let the customer know yourself; BookDay doesn't email them about the change.
  • Cancel:
    • Cancel & refund: on Stripe, refunds the full amount automatically and cancels the booking.
    • Mark as refunded: for ToyyibPay or Fiuu, or if you refunded another way. Do the actual refund in your payment dashboard.
    • Cancel without refund: frees the date and keeps the money (e.g. a no-show under your policy).
  • Customer is at checkout: for an unpaid booking you can click Release the date to free it immediately.
TipCancelling or refunding always frees the date again, so another customer can book it.

Packages

What customers can book: a tour, a boat trip, a room, a session, a full-day experience.

Add or edit a package

FieldTips
Package nameShort and clear, e.g. "Sunset Cruise (up to 6 pax)"
TaglineSmall line above the name on the card, e.g. "Most popular"
DescriptionWhat's included, how long, what to bring
Price (RM)The amount customers pay online
Old priceOptional. Shown crossed out to highlight a promo. Must be higher than the price.
Duratione.g. "5 hours", "Full day", "1 night"
LocationWhere it happens
Display orderLower numbers show first on the homepage
Show on websiteUntick to hide a package without deleting it

Photos

  • Upload new photos in the package form (several at once), or click + Add from media to pick photos you've already uploaded.
  • Up to 8 photos per package. Landscape photos look best.
  • The first photo is the cover on the homepage card. Use Make cover or the ← → arrows to change the order.
  • Remove takes a photo off the package. It stays in Media in case you need it again.

Hide or delete?

A package that has been booked before can't be deleted, because your booking history needs it. Untick Show on website to hide it instead. Packages that were never booked can be deleted.

Closed dates

Stop bookings on days you're closed: public holidays, maintenance, private events.

  1. Pick a From date, and a To date for a range (leave it empty for one day).
  2. Choose All packages or one package only.
  3. Add a reason if you like (e.g. "Hari Raya"). Only you see it.
  4. Click Close dates.

Those dates are greyed out on the calendar straight away. Click Reopen to make them bookable again.

Existing bookings aren't cancelledIf someone has already paid for a date you close, BookDay warns you, but the booking stays. Move or cancel it yourself in Bookings.

Media

Every image you upload is kept here, so you only upload it once and can reuse it anywhere.

  • Upload: JPG, PNG or WebP, up to 8 MB each. You can select several at once.
  • Filters: All, Used and Not used. Each image shows where it's used, e.g. "Logo" or "Package: Sunset Cruise".
  • Delete: only images that aren't used anywhere can be deleted. To delete one that's in use, swap it out first.
  • Space: the bar at the top shows how much of your 500 MB you've used.

Choose from media

Anywhere you add an image (logo, favicon, banner, package photos) you'll see Choose from media. It opens a pop-up of your images:

  • Click an image, then Use this image (or double-click it).
  • Upload in the pop-up adds new images without leaving the page.
  • Hover over an unused image and click the bin icon, then Delete?, to remove it. Images in use show an In use tag instead.
Tip: keep images lightBig photos make your site slow on phones. Around 1600 px wide and under 1 MB is plenty for banners and package photos.

Settings → Brand

Your name and logo, shown in the menu, footer, emails and browser tab.

  • Logo: PNG with a transparent background works best. Empty white or transparent edges are trimmed automatically.
    • A wide logo (about 600×150) is shown on its own.
    • A square logo (about 300×300) is shown with your business name beside it.
    • No logo: your business name is shown with a small calendar badge.
  • Favicon: the small icon in the browser tab, and on a phone's home screen if someone saves your site. Use a square image of at least 192×192. Non-square images are cropped to the centre.
  • Business name, Footer tagline and Footer note (e.g. "Malaysia · Prices in RM").

Settings → Colours

Match the site to your brand. A live preview shows changes before you save.

Start from a theme (Navy, Forest, Ocean, Sand, Charcoal or Plum), then adjust any colour:

ColourUsed for
BrandButtons, the selected date, the logo badge
AccentHeadline line 2 and small dots, like the one under the active menu link
TextHeadings and main text
Soft textDescriptions and small labels
BackgroundThe page background
Section backgroundThe "How it works" band, calendar days, photo placeholders

Calendar (optional): give the booking calendar its own colours for available days, the selected day and the small "available" dot. Click Follow site to go back to the main colours.

Why won't a colour save?BookDay checks that text stays readable. If a colour makes text too hard to read (e.g. light text on a light background), it explains why and suggests a lighter or darker shade. Light brand colours like yellow are fine: button text switches to dark automatically.

Settings → Homepage

Edit your homepage block by block, with a live preview on the right. Click a field to see where it appears, and switch between Desktop and Phone.

BlockWhat you can change
1. VideoOptional. Paste a YouTube or Vimeo link and it shows at the very top, playing silently on repeat. Leave it empty and the headline comes first.
2. HeroHeadline (2 lines), the small line above it, intro text and button text
3. BannerA large photo with a small card on top. Remove the photo to hide the whole section.
4. PackagesThe title and text above your package cards
5. How it worksThe 3 booking steps (fixed text)
6. FAQEdited in the FAQ tab

Adding a video

  1. Upload your video to YouTube or Vimeo.
  2. On the video, press Share and copy the link.
  3. Paste it into Video and click Save homepage.
Vimeo usersIn the video's privacy settings on Vimeo, embedding must be allowed ("Anywhere" or your website). Otherwise the video won't play on your site.

Videos start muted because browsers only allow silent autoplay. Visitors can unmute with the player's controls. A short 10–30 second clip without talking works best.

Settings → Contact

How customers reach you. Anything you fill in appears in your website footer.

  • WhatsApp number: also adds a floating WhatsApp button on every page. Local format is fine, e.g. 012-345 6789.
  • Phone and Address / area
  • Email: also receives a copy of every new booking
  • Instagram, Facebook, TikTok: type your handle (e.g. @yourpage) or paste the full link

Leave a field empty to hide it.

Settings → FAQ & Policies

FAQ

Add up to 20 questions and answers for the bottom of your homepage. Click + Add a question, or Remove to delete one. Each question needs an answer.

Policies

  • Change & cancellation policy: shown as the last FAQ, on your Terms page and in confirmation emails. Customers must agree to it at checkout.
  • Booking terms: anything else customers should know, such as arrival time, what to bring and safety rules.

Once either is filled in, a Terms & cancellation link appears in your footer.

Settings → Payments

Where your customers' payments go. Usually set up together with Wolvespax Global.

  • The tab is locked so nothing changes by accident. It shows a summary: which payment provider, test or live mode, and which keys are saved.
  • Click Unlock to edit to make changes. It locks again by itself after 10 minutes, or click Lock now.
  • Choose Stripe, ToyyibPay or Fiuu (Razer), then paste the keys from your account with that provider. Keys are hidden once saved; only the last 4 characters are shown.
  • Test mode (Stripe sk_test_ keys, or Sandbox) takes no real money. Switch to live keys when you're ready to take real bookings.
Never share your keysPayment keys are like passwords to your money. Never send them by WhatsApp or email, not even to us. We'll set them up with you on a call or in person.

Settings → Support

Has a button to email us with your site details already filled in, plus a Your site details box you can copy when asking for help.

Payments & refunds

  • Money goes straight to you: payments go into your own Stripe, ToyyibPay or Fiuu account, never through Wolvespax Global. Payouts to your bank follow that provider's schedule.
  • Fees: each provider charges its own transaction fee. Check their website for current rates.
  • Refunds:
    • Stripe: open the booking and click Cancel & refund. It's done instantly and the booking is cancelled.
    • ToyyibPay / Fiuu: refund in your provider's dashboard, then click Mark as refunded on the booking so the date frees up and your records match.

Troubleshooting

A customer says they paid but there's no booking

Search their name or email in Bookings with the status set to All. If it shows as Cancelled, the payment may not have gone through, or it was completed after the 30-minute hold. Check your payment dashboard, then contact us with the booking reference.

A customer didn't receive the confirmation email

Ask them to check spam or promotions. Their booking reference is also shown on screen after paying, and you can see the booking in your admin.

A date shows as unavailable

It's either already booked, closed in Closed dates, in the past, more than 6 months ahead, or someone is paying for it right now (the 30-minute hold).

My video doesn't play

Check the link opens in a browser. For Vimeo, allow embedding in the video's privacy settings. Private YouTube videos can't be shown; use Public or Unlisted.

My changes don't show on the website

Make sure you clicked Save and saw the green "Saved" message. Then refresh your website, or open it in a private window.

"Your session expired"

You were idle too long. Go back, refresh the page, log in again and redo the change.
